MICE Bali Packages: Tiers, Prices and Inclusions
**MICE Bali packages fall into four standard models — the day-meeting DDR, the multi-day incentive (3D2N or 4D3N), the full conference build, and gala add-ons. As of 2026, indicative all-in bands run from roughly IDR 750,000 per delegate for a basic day meeting to IDR 12,000,000+ per delegate for a premium 4-day incentive, priced in Rupiah first.**
Summitara Events builds these packages for corporate buyers, PCOs and incentive houses working the Nusa Dua–Jimbaran–Ubud corridor. Every band below is arranged via vetted licensed venues and suppliers — we are not the venue owner. Prices are indicative, dated as of 2026, and subject to change and venue confirmation.
What are the standard MICE package models in Bali?
There are four building blocks, and most real programs combine two or three of them:
- Meeting / DDR (Day Delegate Rate): A per-person day rate for a plenary or breakout meeting — room hire, two coffee breaks, working lunch, standard AV, notepads and water. The workhorse for board offsites and training days.
- Incentive 3D2N or 4D3N: A staged reward trip — accommodation, transfers, a themed gala or beach dinner, one or two curated activities (Uluwatu culture night, Ubud rice-terrace cycling, a catamaran afternoon), and a dedicated on-ground coordinator.
- Conference: A larger build around a plenary hall plus breakout rooms — think BNDCC (indicatively ~2,500 theatre-style), BICC at The Westin Nusa Dua, Merusaka Nusa Dua ballrooms or AYANA-cluster spaces. Registration desk, signage, technical crew and delegate management sit inside this tier.
- Gala add-on: A layered evening — themed decor, live entertainment, plated or station catering, staging and lighting — bolted onto any of the above.
Capacities named here are indicative and always subject to venue confirmation at contract.
How much does each MICE Bali package tier cost?
The table below sets indicative per-delegate bands by tier. Everything is anchored in IDR; the USD column is a labelled reference conversion only, never the contractual figure — under Bank Indonesia Regulation No. 17/3/PBI/2015 (the Rupiah Rule), all quoting, invoicing and contracting inside Indonesia must be in Rupiah.
| Package tier | What it typically includes | Indicative IDR / pax (as of 2026) | USD ref. only |
|---|---|---|---|
| Meeting / DDR (day) | Room hire, 2 breaks, working lunch, standard AV, stationery | IDR 750,000 – 1,500,000 | ~USD 46–92 |
| Incentive 3D2N | 4–5★ stay, transfers, 1 gala, 2 activities, coordinator | IDR 6,500,000 – 9,000,000 | ~USD 400–555 |
| Incentive 4D3N | Above + extra night, extra activity, upgraded dinner | IDR 9,000,000 – 12,500,000 | ~USD 555–770 |
| Conference (day, per pax) | Plenary + breakout hire, registration desk, tech crew, signage | IDR 1,800,000 – 3,500,000 | ~USD 111–216 |
| Gala add-on (per pax) | Themed decor, entertainment, plated dinner, staging/lighting | IDR 1,200,000 – 3,000,000 | ~USD 74–185 |
USD figures use an indicative rate near IDR 16,200 = USD 1 and will drift; confirm the Rupiah figure at signature.
How does group size change the per-pax price?
Bigger groups spread fixed costs — venue minimums, staging, a coordinator’s day rate — across more heads, so per-delegate cost usually falls as the group grows. The table shows the pattern for a mid-tier program (roughly a DDR-plus-one-gala day, or a 3D2N incentive shell).
| Group size | Per-pax dynamic | Indicative IDR / pax band (as of 2026) |
|---|---|---|
| 20–40 pax | Fixed costs thinly spread; boutique venues | IDR 2,200,000 – 3,200,000 |
| 50–100 pax | Sweet spot; strong venue leverage | IDR 1,600,000 – 2,400,000 |
| 150–300 pax | Volume rates kick in; larger ballrooms | IDR 1,300,000 – 2,000,000 |
| 500+ pax (conference) | Best per-pax; convention-centre scale | IDR 1,000,000 – 1,700,000 |
As a working anchor, a straightforward 100-pax corporate day (mid-tier DDR plus a modest gala, excluding flights and accommodation) typically lands around IDR 160,000,000 – 240,000,000 all-in as of 2026 — useful for a first-pass budget line before we quote precisely.
What sits inside a Bali incentive package that planners forget?
Compliance items belong in the package, not in a surprise column later:
- Tourist levy: Under Governor Wayan Koster’s Circular Letter SE No. 7 of 2025, foreign delegates pay the mandatory levy electronically via the official Love Bali platform (lovebali.baliprov.go.id). We build this into arrival logistics.
- Licensed guides, transport and stays: Cultural and natural-site visits must use certified licensed guides, transport must be licensed, and accommodation must be legally licensed — enforcement on unlicensed stays is tightening. Every supplier in our packages is licensed.
- Single-use plastic ban: Plastic bags, Styrofoam, plastic straws and plastic-packaged drinks are banned at venues and offsites, so catering and gifting are specified plastic-free.
- Conduct codes: Temple and public-space dress and behaviour codes apply; delegates may not conduct business or work in Bali without official documentation. Violations can be reported to the provincial hotline on +62 81-287-590-999.
- Money movement: Under Law No. 8 of 2010, anyone carrying cash or instruments worth IDR 100,000,000 or more in or out of Indonesia must declare to Customs. In May 2026 Bank Indonesia (Governor Perry Warjiyo) tightened undocumented cash foreign-currency purchases from USD 50,000 to USD 25,000. We advise delegates to exchange into IDR on arrival at licensed money changers showing official Bank Indonesia QR codes.
Delegates enter via Ngurah Rai (Denpasar) International Airport — passports need at least six months’ validity beyond arrival and two blank pages, and visa rules must be checked per nationality close to signature.
How does booking a MICE Bali package work?
- Send a package-fit RFP. Tell us the model (meeting, incentive, conference, gala), delegate count, target dates and rough budget in IDR.
- Get a shortlist and indicative Rupiah quote. Within a couple of business days we return a vetted-venue shortlist with corridor recommendations (Nusa Dua for large conferences, Jimbaran for retreats, Ubud for wellness and leadership).
- Refine and site-inspect. We firm up capacities against venue confirmation, adjust inclusions, and arrange a site inspection where useful.
- Contract in Rupiah. Every quote, invoice and contract is issued in IDR, with any USD shown as reference only, per the Rupiah Rule.
- Deliver on the ground. A dedicated coordinator runs the program end to end, from airport meet-and-greet to gala teardown.
