What should your RFP include?

What do Bali corporate events cost, and how long do they take to plan?
Below is an indicative planning-and-cost table for common corporate formats in the corridor. All figures are anchored in Indonesian Rupiah because Bank Indonesia Regulation No. 17/3/PBI/2015 (the Obligation to Use Rupiah) requires every transaction settled in Indonesia to be quoted, invoiced and contracted in IDR. USD figures appear as a labelled reference only and are never the contractual currency. Prices are per-programme estimates, land-only, as of 2026, subject to change and venue confirmation.

Corridor anchor venues we shortlist against — always arranged via vetted venues and suppliers, with capacities indicative and subject to venue confirmation — include the Bali Nusa Dua Convention Center (BNDCC, roughly 2,500 theatre-style), the Bali International Convention Centre at The Westin Resort Nusa Dua, Merusaka Nusa Dua ballrooms, and AYANA-cluster ballroom spaces. Nusa Dua remains the safest base for large conferences; Jimbaran absorbs retreat and incentive overflow; Ubud anchors wellness and leadership programmes.
How does booking work from first message to signed contract?
- Send your brief. WhatsApp, email or the form below. Include as many RFP fields as you have.
- Scoping reply (within 1 working day). The Bali Premium Trip reservations team confirms feasibility, flags date or capacity risks, and returns a first-pass IDR budget with a venue shortlist.
- Proposal and site options. We issue a written proposal in Rupiah, with a labelled USD reference conversion, plus two or three venue options mapped to your corridor zone and format.
- Refinement call. We adjust programme, catering, transfers and offsite elements, and place a courtesy date hold on your lead venue where possible.
- Contract and deposit. Once you approve, we contract in IDR per the Rupiah Rule and confirm the deposit schedule. Your programme moves to operations, and you get a named coordinator for the run-up.
What compliance points should planners flag to delegates early?
We build these into every proposal so there are no surprises at the airport or the venue. Attribute them in your internal briefing notes:
- Currency. All contracting is in IDR. Under BI Regulation No. 17/3/PBI/2015, USD or SGD may appear only as a labelled reference; enforcement as of 2026 can reach penalties up to IDR 1,000,000,000.
- Cash and reporting. Anyone carrying cash or instruments worth IDR 100,000,000 or more across the border must report to the Directorate General of Customs and Excise under Law No. 8 of 2010; failure triggers a 10% deduction capped at IDR 300,000,000. In May 2026 Bank Indonesia (Governor Perry Warjiyo) cut undocumented cash foreign-currency purchases from USD 50,000 to USD 25,000. Advise delegates to exchange into IDR on arrival at licensed money changers showing official Bank Indonesia QR codes.
- Bali conduct rules. Under Governor Wayan Koster’s Circular Letter SE No. 7 of 2025, foreign delegates pay the tourist levy electronically via the official Love Bali platform (lovebali.baliprov.go.id); site visits use certified licensed guides; transport and accommodation must be licensed; temple dress and behaviour codes apply; and single-use plastics are banned at venues and offsites. Delegates may not conduct business or work without official documentation. Violations can be reported to +62 81-287-590-999.
- Entry. Delegates enter via Ngurah Rai (Denpasar) International Airport. Passports need at least six months’ validity beyond arrival and two blank pages; visa rules vary by nationality and must be verified per delegate close to contract signature. The U.S. Consular Agency Bali sits at Jimbaran Hub, Jl. Karangmas, Jimbaran, Badung 80361.
A 2025 draft regulation on bank-balance disclosure remains only a proposal, not law — we monitor it and will flag any change before it affects your programme.
