Bali Conference Cost Per Person: 2026 IDR Ranges

What Does a Bali Conference Cost Per Person in 2026?

A full-day corporate conference in Bali’s Nusa Dua corridor typically runs IDR 1.2 million to IDR 4.5 million per delegate (roughly USD 74 to USD 277, for reference only, as of 2026, subject to change). That spread covers a standard hotel day-delegate rate at the low end and a mid-tier residential incentive with F&B, AV and transfers at the upper end. Buyouts run higher.

Under Bank Indonesia Regulation No. 17/3/PBI/2015, every quote and contract you sign in Bali must be priced in Indonesian Rupiah. Any USD figure below is a labelled reference conversion only, never the contractual currency.

What Actually Drives Your Per-Person Cost?

Five line items move the number more than anything else. When Summitara Events scopes a per-head quote, we break every proposal into these buckets so buyers can see exactly where the money sits.

  • Venue / meeting space — day-delegate rate (DDR) or hall hire. Nusa Dua convention halls cost more per head at low pax counts and less as you scale.
  • Food & beverage — the single biggest variable. Two coffee breaks plus a plated lunch, or a gala dinner, swings the figure by millions of rupiah.
  • Audio-visual & production — screens, stage, lighting, translation booths. Fixed-cost heavy, so per-head AV drops sharply as group size rises.
  • Ground transport — airport transfers from Ngurah Rai and daily shuttles. Bali’s congestion (connectivity upgrades run to 2030) keeps transfer time and coach hours a real cost.
  • DMC / planning fee — the coordination, contracting and on-ground management layer. Arranged via vetted licensed venues and suppliers.

Provincial rules add non-negotiable line items too. Governor Wayan Koster’s Circular Letter SE No. 7 of 2025 requires foreign delegates to pay the Love Bali tourist levy electronically, mandates certified licensed guides for cultural and natural-site visits, licensed transport, and legally licensed accommodation. Venues and offsites also ban single-use plastics (bags, Styrofoam, straws, plastic-packaged drinks), so catering specs must comply.

How Much Per Person by Group Size?

Per-head cost falls as fixed AV, staging and DMC coordination spread across more delegates. The table below shows indicative all-in day rates for a one-day conference with two breaks, lunch, standard AV and local transfers in the Nusa Dua-Jimbaran corridor.

Group size Per person / day (IDR) Per person ref. (USD)* What’s included
20-50 pax IDR 1,650,000 – 2,400,000 ~USD 102 – 148 Hotel DDR, 2 breaks + lunch, basic AV, shared shuttle
51-150 pax IDR 1,350,000 – 2,000,000 ~USD 83 – 123 Ballroom DDR, upgraded AV, dedicated coaches
151-400 pax IDR 1,200,000 – 1,750,000 ~USD 74 – 108 Convention hall, full stage + screens, transfer fleet
400+ pax (BNDCC-scale) IDR 1,100,000 – 1,600,000 ~USD 68 – 99 Large convention centre, production crew, logistics team

*USD shown for reference only per the Rupiah Rule; IDR is the contracted figure. Figures as of 2026, subject to change and venue confirmation.

Corridor anchor venues we reference honestly by indicative capacity include the Bali Nusa Dua Convention Center (BNDCC, roughly 2,500 theatre-style), the Bali International Convention Centre at The Westin Resort Nusa Dua, Merusaka Nusa Dua ballrooms, and AYANA-cluster ballroom spaces. All capacities are indicative and subject to venue confirmation, and all space is arranged via vetted venues and suppliers.

Resort Buyout vs Hotel Meeting Space: What’s the Cost Gap?

Buying out a whole resort gives you exclusivity, privacy and full-property branding — and it costs materially more per head than booking meeting space inside a shared hotel. The table below compares a 100-pax, 3-day residential programme under the two models.

Cost element (100 pax, 3 days) Hotel meeting space (per pax) Resort buyout (per pax)
Accommodation IDR 4,200,000 IDR 7,500,000
Meeting rooms + F&B IDR 3,600,000 IDR 4,800,000
AV & production IDR 1,100,000 IDR 1,700,000
Exclusivity / space hire included IDR 3,000,000
Transport + DMC IDR 1,400,000 IDR 1,800,000
Indicative total / pax ~IDR 10,300,000 ~IDR 18,800,000
Ref. only (USD)* ~USD 635 ~USD 1,160

A shared-hotel programme suits cost-disciplined conferences and larger association events that fill a convention hall. A buyout earns its premium for smaller, brand-sensitive incentive groups (typically 60-180 pax) wanting a private property in Jimbaran for a retreat, or Ubud for a wellness-and-leadership programme. Nusa Dua stays the safest base for large conferences; Jimbaran absorbs overflow and retreats; Ubud anchors culture-led and wellness itineraries.

How Does Getting a Per-Head Quote Work?

Summitara Events routes confirmed scopes to the reservations team at Bali Premium Trip, who contract directly with vetted venues. Here’s the path from enquiry to a firm per-person figure.

  1. Share your brief — pax count, dates, nights, meeting hours, F&B level (breaks, lunch, gala) and preferred base (Nusa Dua, Jimbaran or Ubud).
  2. Get a scoped cost model — a per-head breakdown across venue, F&B, AV, transport and coordination, priced in IDR with USD reference only.
  3. Compare buyout vs meeting space — we run both models side by side so you can see the per-pax premium before committing.
  4. Venue holds — vetted venues place tentative holds; capacities confirmed in writing by the property.
  5. Contract in IDR — final rates, deposit schedule and compliance items (Love Bali levy, licensed guides and transport, plastic-free catering) locked into a Rupiah-denominated agreement.

Plan for entry logistics too. Delegates arrive at Ngurah Rai (Denpasar) International Airport; passports need at least six months’ validity beyond arrival and two blank pages, and visa rules must be checked per nationality close to contract signature. Advise delegates to exchange into IDR on arrival at licensed money changers showing official Bank Indonesia QR codes — and note that in May 2026 Bank Indonesia tightened undocumented cash foreign-currency purchases from USD 50,000 to USD 25,000. Anyone carrying IDR 100,000,000 or more (or equivalent) in or out must report to Customs under Law No. 8 of 2010.
